Overview
This guide will walk you through reserving a room, as well as requesting any additional services that are necessary for your event (Facilities Setup, Catering, or Audio / Visual Support)
Important
Room reservations must be made at least 24 hours in advance
Technology (Audio Visual) Support - Requires 48 hour notice
Catering - Requires 10 days notice
Submitting a Request
- Navigate to https://ems2.alfredstate.edu/

- Enter your username into the User ID field and enter your password below it (this is your Alfred State login, make sure to type your username, NOT the full e-mail with @alfredstate.edu), then click "Sign In"

- You should sign in and see the EMS home page from which you will navigate

- To begin booking a room, click "Book Now" next to one of the room types, we will be doing a standard "Room Request" in this guide

- You should now be viewing the Room Request page,

- First we need to set the date and time of the event so that when we look for a room results are accurate,

- Click the calendar icon under "Date"

- Click on the date of your event

- Click on the clock icon under "Start Time"

- Set the start time, and then click the blue "X" in the top right

- Repeat steps 9 and 10 but for "End Time"

- Now you need to select a room, you can search by name at the bottom if you already have one in mind, but this guide will show you how to find a room by building,

- Click "Add/Remove" next to "Locations"

- You now see the list of buildings you can add to your search, check the box(es) of your desired building(s)

- Once you have checked the box(es), click "Update Locations" to add the selected rooms to the search

- You can now see the available rooms in your selected building(s), you may need to scroll, especially if you selected multiple buildings
(Note: Blue boxes mean the room is already reserved, you can click it for more information unless the event is marked as "Private")
- Once you locate a suitable room, click the green "+" icon next to the room (If a room is listed, but does not have a green "+" then it must be reserved by facilities or student engagement)

- Enter the number of attendees on the popup, then click on "Add Room"

- Once you have your room(s) selected, click "Next Step" in the top right

- You are now on the services section, if any catering or technical support is needed it must be specified here

- Click on the service you wish to add

- Set the amount of the service / support you need, make any relevant notes as needed, then click "OK"

- Add any other services you need, then click "Next Step"

- Type in the "Event Name", and then select the "Event Type" and "Customer" from their drop downs

- Submit the event request by clicking, "Create Reservation"
