Requesting a Space in EMS

Overview

This guide will walk you through reserving a room, as well as requesting any additional services that are necessary for your event (Facilities Setup, Catering, or Audio / Visual Support)


Important
Room reservations must be made at least 24 hours in advance
Technology (Audio Visual) Support - Requires 48 hour notice
Catering - Requires 10 days notice

Submitting a Request
  1. Navigate to https://ems2.alfredstate.edu/Uploaded Image (Thumbnail)
     
  2. Enter your username into the User ID field and enter your password below it (this is your Alfred State login, make sure to type your username, NOT the full e-mail with @alfredstate.edu), then click "Sign In"Uploaded Image (Thumbnail)
     
  3. You should sign in and see the EMS home page from which you will navigateUploaded Image (Thumbnail)
     
  4. To begin booking a room, click "Book Now" next to one of the room types, we will be doing a standard "Room Request" in this guideUploaded Image (Thumbnail)
     
  5. You should now be viewing the Room Request page, Uploaded Image (Thumbnail)
     
  6. First we need to set the date and time of the event so that when we look for a room results are accurate,Uploaded Image (Thumbnail)
     
  7. Click the calendar icon under "Date"Uploaded Image (Thumbnail)
     
  8. Click on the date of your eventUploaded Image (Thumbnail)
     
  9. Click on the clock icon under "Start Time"Uploaded Image (Thumbnail)
     
  10. Set the start time, and then click the blue "X" in the top rightUploaded Image (Thumbnail)
     
  11. Repeat steps 9 and 10 but for "End Time" Uploaded Image (Thumbnail)
     
  12. Now you need to select a room, you can search by name at the bottom if you already have one in mind, but this guide will show you how to find a room by building, Uploaded Image (Thumbnail)
     
  13. Click "Add/Remove" next to "Locations"Uploaded Image (Thumbnail)
     
  14. You now see the list of buildings you can add to your search, check the box(es) of your desired building(s)Uploaded Image (Thumbnail)
     
  15. Once you have checked the box(es), click "Update Locations" to add the selected rooms to the searchUploaded Image (Thumbnail)
     
  16. You can now see the available rooms in your selected building(s), you may need to scroll, especially if you selected multiple buildingsUploaded Image (Thumbnail)(Note: Blue boxes mean the room is already reserved, you can click it for more information unless the event is marked as "Private")

     
  17. Once you locate a suitable room, click the green "+" icon next to the room (If a room is listed, but does not have a green "+" then it must be reserved by facilities or student engagement)Uploaded Image (Thumbnail)
     
  18. Enter the number of attendees on the popup, then click on "Add Room"Uploaded Image (Thumbnail)
     
  19. Once you have your room(s) selected, click "Next Step" in the top rightUploaded Image (Thumbnail)
     
  20. You are now on the services section, if any catering or technical support is needed it must be specified hereUploaded Image (Thumbnail)
     
  21. Click on the service you wish to addUploaded Image (Thumbnail)
     
  22. Set the amount of the service / support you need, make any relevant notes as needed, then click "OK"Uploaded Image (Thumbnail)
     
  23. Add any other services you need, then click "Next Step"Uploaded Image (Thumbnail)
     
  24. Type in the "Event Name", and then select the "Event Type" and "Customer" from their drop downsUploaded Image (Thumbnail)
